Engineering at Divvy consists of all departments needed to drive technology for the company and this admin will need to be ready to regularly work and collaborate with fast paced Technology and Product leaders across various areas.  There is a lot of bouncing between tasks, so an individual who is flexible and ready to change their focus and methods quickly is required. This role is ideal for someone with a history of supporting Technical organizations and/or administrative assistance and encompasses traits of both.

What You’ll Be Doing

  • Providing administrative support for the Engineering and Product Departments to ensure efficient administrative operations and allow leadership resources to focus on core responsibilities
  • Perform event planning ranging from full departments down to team level.  Includes the coordination of all logistics such as food, location, schedule, agenda, invitation, etc
  • Order materials, swag and supplies needed for events, activities, recruiting, etc..
  • Provides travel support by making travel arrangements or coordinating group travel when needed.  
  • Provide onboarding and new hire support for the Engineering department (supplies, onboarding material)
  • Consistent point of contact for Engineering/Prod to provide information and direct to the correct resource, greet and direct visitors. 
  • Resolves routine administrative problems and answers inquiries concerning activities and operations of department/division
  • Maintain organizational charts across all Engineering
  • Serve as a liaison with other departments on basic administrative and/or operational matters such as Workplace Services.
  • Represent Engineering & Product in collaborating & planning company wide events

Qualifications

  • High school diploma or GED
  • At least 1 year of experience directly related to the duties and responsibilities specified.
  • Familiarity with Slack (or similar chat systems), the Google Suite, and Mac computers or the ability to learn these systems quickly
